Basic Function:

Processes accounting documents according to established procedures; maintains and records accounting transactions. Questions or situations outside established procedures and practices are referred to supervisor. Reports to Account Clerk Supervisor or other designated supervisor.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Posts and totals financial transactions (e.g., invoices, receipts, requisitions, etc.); verifies accuracy and completeness of information (e.g., matches original invoice with supporting documents, checks for mathematical accuracy, appropriate signatures, correct account codes and pertinent dates); obtains missing information and makes corrections; enters information into computer spreadsheets and/or journal and ledger books.

Prepares financial documents for disbursement of funds (e.g., invoices, receipts, requisitions, vouchers, etc.); completes and types forms; calculates discounts, taxes, etc.; routes for appropriate signatures.

Totals and reports employee and student hours worked and wages paid.

Maintains a system of paper and/or computerized records and files regarding financial documents.

May reconcile and balance accounts, journals, ledgers, etc.

Orders supplies and equipment; contacts vendors and suppliers to obtain price and shipment information.

Prepares statistical reports.

Responds to inquiries from faculty and staff concerning department accounts, providing general information; explains University and departmental policies and procedures; may respond to inquiries from other universities and institutions.

Sorts, counts, and wraps money; prepares deposits.

Performs clerical duties related to accounting functions; sorts and distributes mail and paychecks; types correspondence.

May train and direct student or temporary employees; may participate in training new employees.

Performs related duties as required.

Minimum Qualifications:

High school diploma or equivalent. A minimum of six months' experience in bookkeeping or related area.

License/Certification:

 

Knowledge Of:

Office practices and procedures
Standard procedures for alphanumeric filing

Skill In:

The operation of adding machine or calculator.
Typing (i.e. 35 net words per minute), if required by position
Interpersonal communication to effectively interact with university personnel and public (e.g., to answer routine questions, explain policies and procedures)

Ability To:

Perform basic bookkeeping
Perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages)
Classify information according to established methods and to maintain accurate records
Identify pairs of items that are the same or different
Read, write, and accurately follow oral and written instructions
Operate a computer for data entry/retrieval

Preferred Qualifications – if applicable:

Medical experience preferred.

Working Conditions / Physical Requirements:

Normal office environment; may work varied hours to include evenings and weekends during peak periods.

Working Schedule:

  8:00 - 5:00 or 9:00 - 6:00, some evenings required
