Basic Function:

Coordinates, oversees, and performs clerical activities within a work unit of classified clerical employees and/or a large number of student or temporary employees on a continual basis. Reports to designated supervisor.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Functions as a working supervisor over a clerical unit of classified employees and/or a large number of student or temporary employees on a continual basis.

- Coordinates work flow and schedule to ensure deadlines are met, priorities are recognized, and policies/procedures are followed.

- Trains and instructs employees on proper work procedures and policies.

- Assigns and monitors work activities.

- May participate in the interviewing and selection of job applicants and the performance evaluation of assigned employees; may recommend personnel actions (e.g., hiring, termination, promotion, discipline, layoff/recall).

Performs a variety of clerical tasks (e.g., prepares and processes forms, responds to questions about the processing of forms, maintains a system of files, reviews and corrects work done by others in work unit, types letters and reports).

Acts as liaison between supervisor, other relevant University personnel, and work unit; transmits information, directives, and decisions.

Maintains office policies and procedures; assists in the implementation of policies and procedures as assigned by supervisor.

Performs related duties as required.

Minimum Qualifications:

High school diploma or equivalent. A minimum of one year responsible clerical experience in an office or business setting.



Knowledge Of:

Office practices and procedures
Standard procedures for alphanumeric filing
Specific software may be preferred

Skill In:

Interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to transmit work directives, answer routine questions, explain policies and procedures)
Written communication (e.g., to compose routine correspondence)
Typing (i.e., 35 net words per minute), if required by position

Ability To:

Train and provide effective work direction to other employees
Manage time effectively and set priorities
Carry out and assist in implementing changes
Operate a computer for word processing, data entry/retrieval, and data management
Apply policies and procedures
Analyze several pieces of information and draw valid conclusions
Read and comprehend a variety of written information
Operate various office equipment (e.g., calculator, copier machine, facsimile machine, etc.)
Perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages
Maintain accurate records
Classify information according to established methods
Identify pairs of items that are the same or different

Working Conditions / Physical Requirements:

Normal office environment; may require frequent use of video display terminal; may work varied hours to include evenings and weekends during peak periods.

Working Schedule:

 Monday through Friday, 8:00 a.m. to 5:00 p.m.; however, schedule may vary to include evening and/or weekend hours during peak periods.
