Basic Function:

Provides secretarial support in accordance with standard office methods and procedures. Reports to designated supervisor.

Additional Basic Function – if applicable:

 This position provides support in accordance with standard office methods and procedures.  Manages budget and expenditures in accordance with grant funding guidelines.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Screens supervisor's telephone calls; transfers calls to supervisor; takes telephone messages when supervisor is unavailable; answers questions regarding general department and/or Kent State University policies and procedures.

Maintains supervisor's appointment and travel schedules; screens visitors; schedules meetings; types agendas and coordinates arrangements for meeting times, locations, catering services, special equipment, and typed materials; makes travel and lodging arrangements and processes reimbursement paperwork.

Screens supervisor's mail; opens, date stamps, and categorizes mail; reroutes mail to more appropriate individuals when necessary.

Types correspondence, reports, tests, etc., from rough draft copy or from dictation with the use of a word processor or typewriter; proofs and corrects typed material for final copy; may type material from transcription notes or dictaphone.

Copies documents using duplicating equipment; may distribute documents through interdepartmental and regular mail and through operation of a facsimile machine.

Creates and maintains files and lists for assigned supervisor (e.g., key lists, absence lists, correspondence files, employee files, etc.) on a computer or through paper files.

May prepare, process and/or maintain paper or computerized forms according to established policies and procedures.

May monitor a financial account; completes and processes various financial forms; records expenditures and maintains balance of account.

May assist with special projects.

May train and direct student or temporary employees; may participate in training new employees.

Performs related duties as required.

Minimum Qualifications:

High school diploma or equivalent, with course work in typing. May require course work in transcription; manual transcription may be preferred. A minimum of six months' clerical/secretarial experience in an office or business setting.

License/Certification:

 

Knowledge Of:

Specific software may be preferred
Office practices and procedures
English grammar, spelling, and punctuation
Letter formats
Standard procedures for alphanumeric filing

Skill In:

Typing (i.e., 35 words per minute)
Transcription (i.e., 35 words per minute), if required by position
Interpersonal communication to effectively interact with University personnel and public, in person and over the telephone (e.g., to greet visitors and answer routine questions)

Ability To:

Operate a computer for word processing and data entry/retrieval
proofread written information
Operate various office equipment (e.g., typewriter, dictaphone, calculator, copier machine, facsimile machine, etc.)
Perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages)
Read, write, and accurately follow oral and written instructions
Maintain accurate records

Working Conditions / Physical Requirements:

Normal office environment; may require frequent use of video display terminal.

Working Schedule:

 Monday - Friday, 8:00 a.m. - 5:00 p.m.; however, hours may vary to meet departmental needs.  12 month term assignment; renewal based on grant funding.
