Basic Function:

Provide data and systems support to the Admissions Operations and Systems area (AOS). Assist with activities which serve to advance and develop the functions of admissions within Kent State's ERP, CRM, and document management systems. Reports to Director, Admissions Operations and Systems.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Assist in maintaining, updating, and testing the systems which support the functions of admissions, such as enterprise resource planning (ERP), Cognos, Application Xtender, OnBase, and constituent relationship management (CRM) systems.

Serve as the technical lead for the ongoing support of any data integrity edits used by the admitting units/functional areas, to monitor applications processing, document managment, and transcript evaluation.

Develop and maintain reports to ensure the accuracy of AOS technical processes, including file transfers, job submissions, batch processes, and system integrations); provide accurate analysis and detailed reports to Director that provide problem resolution and quality control of these processes and any procedures overseen by AOS.

Coordinate with Systems Specialists to identify and interpret processing issues or inconsistencies within the undergraduate, graduate, and international admitting units, as well as the Credit Transfer area.

Develop and regularly review reports from the online admissions application data tables to identify system issues and to allow the admitting units access to their potential recruits' data in more proactive formats.

Assist the department with technical solutions for duplicate ID identification and resolution tracking.

Establish a web-based admissions processing reference library, as well as computer-based training modules and related tools to assist training personnel on all AOS supported processes within ERP, CRMs, OnBase, etc.

Work with System Specialists to provide data support and analysis to the department when implementing system changes or upgrades to any of the support systems; includes analysis of any impacts when making changes to accommodate required university or state mandates.

May provide data support to cross-departmental initiatives/committees directed towards recruiting, advising, and retaining student populations.

Provide technical specifications and data assistance to Director when researching process improvements, data integrations, and new technologies, and when reviewing current functional and system operations to identify new efficiencies; maintain necessary documentation.

Develop and maintain working collaborative relationships with the other functional student offices, Enterprise Support and Application Services, Project Management, all admitting offices, and other areas within the Academic Affairs Operations and Administration department.

Attend meetings and serve on various systems committees as directed.

Work and collaborate with system vendors and consultants as directed by supervisor.

Perform related duties as assigned.

Minimum Qualifications:


Baccalaureate degree.
Two or more years of experience working directly with student data and processes, report writing, and/or student systems support.
Must understand relational database structure concepts.
Must possess strong query writing skills, including knowledge of SQL.
Must be able to work occasional nontraditional hours during peak periods, including evenings and weekends as needed.

Use of various presentation and reporting tools (e.g. MS Office Suite, Toad, Cognos) to generate reports and provide data analysis for supported functions in the department *

Preferred Qualifications – if applicable:

Master’s degree.
Experience with report writing tools, such as Cognos or Toad.
Experience with Ellucian’s Banner Student system, Hyland’s OnBase, or a CRM, such as CollegeNET, Salesforce, or TargetX.

Working Conditions / Physical Requirements:

Light work-Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects. Incumbent must be able to communicate with others. Incumbent may be required to travel from building to building frequently and off campus occasionally.

Working Schedule:

 Non-traditional hours as needed.
