Basic Function:

Serve as the primary resource for designated giving areas for the submission and recording of gifts and pledges, and giving related inquiries. Assist with pledge management and gift and donor reporting. Collaborate on fundraising activities to ensure materials, solicitations and events meet IRS charitable giving criteria. Reports to Chief Financial Officer, KSU Foundation.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Review gift and pledge submissions for accuracy, potential issues, and completeness. Resolve issues, ensure gifts and pledges are recorded accurately, and adhere to gift acceptance policies and IRS rules.

Respond to donor and giving related inquiries. Perform in-depth research when needed.

Provide expertise on policies and procedures for requesting and utilizing alumni and donor lists for communications, events, and solicitations.

Collaborate with schools, departments, colleges and Advancement Officers on fundraising events, solicitation materials, and ticket sales to accurately reflect donations, premiums, and benefits to donors.

Partner with the Kent State University Foundation accountants on fund deposits, gift allocations, reconciliations, and fund reporting.

Ensure constituent information is accurate and complete.

Instruct, educate and enforce policies and procedures regarding the use of credit card scanning equipment at events, including proper documentation, security, and recording of gifts.

Provide updates on donor lifetime commitments, fund totals, and general giving reports as requested.

Assist with pledge reminders.

Perform related duties as assigned.

Minimum Qualifications:

Associate's degree in accounting, business or closely related field of study and two to three years experience working in a position accountable for deposits, receivables, receipting, or non-profit (501c3) gifts and pledges to include experience using an enterprise system to document and track gift or financial transactions. Examples include advancement, banking, insurance, or accounts receivable and billing systems. Or the equivalent combination of education and experience sufficient to successfully perform the essential functions of the position.

License/Certification:

 

Knowledge Of:

CASE gift acceptance and receipting guidelines
IRS charitable rules and regulations
Understanding of data confidentiality standards and application to security and access requests *

Skill In:

Utilizing Microsoft Office software to include Word, Excel and Outlook *
Written and interpersonal communication with the ability to communicate effectively with all components of the university and external constituents *
Excellent customer service skills *
Demonstrated analytical / evaluation skills *
Paying attention to details *
Organizing information and projects while adhering to established budgets and deadlines

Ability To:

Develop and implement plans *
Work as an effective change agent and the ability to provide administrative/consultative services *
Work independently and as part of a team
Multi-task while managing multiple projects and assignments in a timely manner; and ability to handle stressful situations with skill and tact *

Working Conditions / Physical Requirements:

Light work-Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects. Incumbent must be able to communicate with others. Incumbent may be required to travel from building to building frequently and off campus occasionally.
